Job Description
Wesley College Melbourne, a school of the Uniting Church, established in 1866, is one of Australia's leading and most respected co-educational independent schools. With an enrolment of 3,400 students from ECLC to Year 12, it comprises three metropolitan campuses in Melbourne, at St Kilda Road, Glen Waverley and Elsternwick, outdoor education sites at Chum Creek, Mallana, Lochend and a Year 9 residential campus at Clunes.
We are seeking a highly organised and professional Executive Assistant to provide confidential, high-level support to the Associate to the Principal and Director of Community Engagement. Based at our St Kilda Road Campus, this full-time role is central to the smooth operation of two senior offices and involves liaising with a range of internal and external stakeholders.
Reporting jointly to the Associate to the Principal and to the Director of Community Engagement, the Executive Assistant provides executive support in a direct working relationship. The Executive Assistant will also liaise between the Council, College Executive and members of the College Community, including staff, suppliers and parents.
Key responsibilities include:
- Provide high-level executive support to the Associate to the Principal and Director of Community Engagement, managing calendars, correspondence, and communications with professionalism and discretion.
- Coordinate meetings, events, and travel arrangements, including agenda preparation, minute-taking, and action tracking.
- Prepare and edit reports, presentations, and board meeting documents whilst maintaining organised and confidential filing systems.
- Support project management, tracking deadlines and ensuring timely delivery of key initiatives.
- Act as a key liaison with internal and external stakeholders, including Council, committees, alumni, donors, and regulatory bodies.
- Assist with planning and delivery of school events and special initiatives, ensuring alignment with College standards.
About you:
You will bring at least 5 years' experience supporting senior leaders, excellent communication and time management skills, and advanced Microsoft Office capability. Discretion, professionalism, and a commitment to child safety are essential.
